Medical Office Manager

Are you a motivated, detail-oriented professional with experience in medical office management? Our client is a small, friendly audiology practice in Syracuse.

We are seeking a Medical Office Manager to help lead and manage our team across two locations, in Fayetteville and Camillus. This is a unique opportunity to work in a close-knit, supportive environment that offers a less stressful pace than large medical practices while still providing professional challenges and growth.

About the practice: The practice is home to a small but growing team of 7, including 2 Audiologists, 2 Front Office Coordinators, 2 Patient Care Coordinators, and 1 Billing Specialist. The team are all dedicated to providing exceptional hearing healthcare services, and we're looking for an Office Manager who can ensure the day-to-day operations run smoothly and efficiently.

Key Responsibilities:

• Office Management & Scheduling: Manage day-to-day operations across both locations. Maintain efficient scheduling practices to ensure excellent patient flow and staff productivity.
• Human Resources: Handle HR responsibilities including recruitment, onboarding, performance reviews, and any staff management input as requirement on an ad hoc basis. Play a pivotal role in team development and fostering a positive, collaborative work environment.
• Billing & Insurance: Oversee billing and insurance processes, ensuring compliance and accuracy in claims. Prior experience with insurance billing and claims management is essential.
• Financial & Payroll Management: Assist with financial reporting, budget tracking, and payroll management. Familiarity with QuickBooks is a strong plus.
• Leadership & Communication: Lead and support a team, encouraging consistency and a shared direction. Act as the main point of contact for staff issues, providing guidance and support to resolve conflicts effectively.

Key Qualifications:
• Experience: Minimum 2 years in a medical office management role.
• Insurance Billing Knowledge: Strong familiarity with medical insurance processes, particularly within the audiology or medical field.
• HR & Team Leadership: Proven ability to lead, hire, and conduct performance reviews, with a calm approach to managing employee relations.
• Technical Skills: Proficiency in Microsoft Excel and tracking systems; experience with QuickBooks is highly desirable.
• Communication Skills: Exceptional verbal and written communication skills for clear interactions with staff, patients, and insurance providers.
